Candidate Travel Authorization Procedures

 

 


In-State candidate Travel

 

In-state candidate travel reimbursement is not permitted.

Out-of-State Travel

 

To reimburse candidates for out-of-state travel, an approved Candidate Travel Authorization Form  is required (found in Fiscal Services e-mail shared folder or can be requested from the Office of the Associate Vice President of Finance - Ext 2315). 

Candidates for positions in the following categories will be eligible for reimbursement:

  1. Faculty candidates.
  2. Senior Management candidates.
  3. Positions that are difficult to recruit, requiring Regional/National searches.
  4. For candidates other than stated above, the department or search committee must provide advance written justification of the circumstances and the necessity to interview out­of­state candidate(s) for whom a travel expense reimbursement will be requested.
General Guidelines:  Travel Expenses should be limited to essential costs related to the interview.
  1. Air Fare: Coach fare is required. If airfare is purchased through a Health Center contracted agency (See below) and is to be paid for with Health Center funds, check the appropriate box on the Candidate TA form. This form must be submitted to the Associate Vice President of Finance MC5330, three (3) weeks before the scheduled visit, or within three (3) business days of booking the airline reservation, whichever is earlier.

    Please note: 

    When booking airline tickets with our Travel Agents it is important to indicate that you are from the UConn Health Center, Farmington campus in order to reduce errors that have been made in distributing tickets to the correct campus location. There has been instances where a ticket was sent to Storrs instead of Farmington simply because the Travel Agent assumed the caller was from Storrs.

UConn Health Center, Farmington Campus


This will reduce errors that have been made in distributing tickets to the correct campus location. There has been instances where a ticket was sent to Storrs instead of Farmington simply because the Travel Agent assumed the caller was from Storrs.

Airline tickets can not be booked or charged to UCHC accounts through Worldtek for individuals under a Personal Service Agreement until the agreement has been fully executed.  The executed agreement must be faxed to the Bursar's Office within 24 hours of booking tickets.
